Leaflet Drop Privacy Policy
This policy explains how Protect the Wild handles the personal data you provide when signing up to take part in the Leaflet Drop campaign.
1. Who We Are
Protect the Wild is a UK-based not-for-profit organisation working to defend wildlife and end hunting. As part of our campaigns, we may collect limited personal data to coordinate supporter actions such as leaflet distribution.
2. What Data We Collect
When you sign up via our form, we collect the following:
- Your full name
- Your email address
- Your postal address (including postcode)
- (If applicable) Your phone number, should we ever expand to WhatsApp coordination (with separate consent)
3. How We Use Your Data
We use this data only for the purpose of:
- Coordinating the delivery of campaign leaflets
- Posting you the correct number of leaflets
- Sharing your postal address only with a trusted leaflet distributor (e.g. a PTW staff member or volunteer responsible for packaging and dispatch)
- Contacting you via email with delivery or campaign-related updates specific to this action
We will never sell, rent, or pass on your personal data to third parties for any marketing or unrelated purposes.
4. Legal Basis for Processing
Under UK GDPR, we process your data based on your informed consent. You provide this consent by actively checking a box on our sign-up form.
You may withdraw your consent at any time by contacting us (see Section 7).
5. How We Store and Protect Your Data
Your data is stored securely in encrypted systems accessible only to authorised Protect the Wild staff and volunteers.
We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, or disclosure.
6. How Long We Keep Your Data
We will retain your data only for as long as necessary to coordinate the leaflet campaign. After the campaign concludes (or no later than December 31, 2025), your data will be securely deleted unless you have given separate consent to stay involved in future PTW campaigns.
7. Your Rights
Under the UK General Data Protection Regulation, you have the right to:
- Request a copy of the personal data we hold about you
- Request correction of any inaccurate information
- Request that we delete your data (“right to be forgotten”)
- Withdraw consent at any time
